Case study

A shared memory for a marketing department

A national membership organization asked us to give its marketing department one governed source of truth its AI tools could rely on.

The department ran on the usual stack: a CRM, ad platforms, project boards, shared docs, and calendars. Every tool held part of the truth, and every AI experiment started from zero context.

We designed a context layer that ingests facts from those systems automatically. Mechanical facts like spend and registrant counts apply on their own. Interpreted facts like decisions and risks are extracted by AI and routed to the owning team for one-click review.

The layer is exposed through an MCP server, so every assistant the team uses answers with the same sourced, dated, team-scoped facts. An ambient agent watches finished work and interjects briefly when shared context changed underneath it.

What the design guarantees

  • Every answer ends with its sources and dates
  • Team-only facts never leak across teams, enforced server-side
  • Customer PII never enters the index, the prompts, or the exports
  • Interjections are three lines or less and never block work
  • Interjection accept rates are measured, so usefulness is proven with data
  • Full audit trail from every fact back to its origin

Never invents

If the context does not cover a question, the system says so. Answers come from governed facts or not at all.

Every answer is sourced

Facts carry where they came from and when they were last updated. Stale facts are flagged plainly.

Silence is a feature

Ambient assistants interject only when shared context materially changes someone's work. They never lecture and never block.

Write access follows ownership

Owners apply updates with one click. Everyone else suggests, and every change is audited back to its origin.
